Our four-phase approach provides a consistent framework for planning and delivering complex commercial business transitions as seen in relocations, asset removal, decommissioning, and facility handovers. Each project is tailored to the organization, its facilities, and its operational requirements.
1.) Project Initiation – Establishing the foundation
We begin by understanding your objectives, assessing the requirements, and establishing the framework for a successful transition.

2.) Pre-Move Coordination – Planning the transition
We develop detailed plans, engage the required resources, and prepare your organization for an efficient and well-coordinated move.
Planning & Logistics
- Detailed project schedule — Develop the sequence of activities, milestones, and dependencies.
- Move program development — Define the overall approach, scope, and execution strategy.
- Logistics planning — Establish loading, unloading, access, staging, and transportation requirements.
- Move strategy development — Determine the most efficient schedule and methods for moving people, equipment, and assets.
- IT & Desk top cabling planning — Coordinate IT disconnect, relocation, reconnect, and testing requirements.
- Site floor plans and labeling — Prepare destination layouts, room assignments, and labeling schemes.
- Staff and equipment databases — Establish the information required to manage the physical transition.
Vendor Procurement & Coordination
- Service provider planning — Determine the vendors and specialized services required.
- Tender / RFP development — Prepare scopes of work and procurement documentation.
- Vendor estimates and procurement — Engage, evaluate, and procure the required service providers.
- Vendor coordination — Align moving, IT, furniture, specialized equipment, and other service providers.
- Property management liaison — Coordinate building access, elevator bookings, loading requirements, and other relocation activities.
- Project meetings and progress reviews — Maintain communication, track progress, and resolve issues.
- Budget and performance oversight — Monitor costs, commitments, and service provider performance.
Staff Preparation
- Staff communications and training — Educate employees on move instructions, processes, and protocols.
- Pre-move requirements — Coordinate staff actions required before the move.
- Purging campaigns — Support the identification and removal of unwanted, obsolete, or surplus items.
3.) Moving Day – Managing the physical transition
We provide on-site leadership and coordination to ensure the move is executed safely, efficiently, and in accordance with the approved plans.
- On-site move supervision — Direct the physical transition and coordinate the move team.
- Vendor management — Coordinate service providers (other than movers) and resolve issues as they arise.
- Asset movement and placement — Confirm assets are moved efficiently and placed according to the approved floor plans.
- Safety and compliance oversight — Ensure movers comply with WorkSafeBC procedures and site / building regulations.
- On-site problem resolution — Address unexpected issues and maintain progress.
- Move-site cleanup — Confirm moving and installation materials are removed and work areas are left clean.
- First-day landing assistance — Help staff get situated and resolve immediate workplace issues.
4.) Post-Move & Close-Out – Completing the transition
We remain involved after the physical move to resolve outstanding issues, complete the transition, and provide a clear project close-out.
- Management walk-through — Review the completed move and identify outstanding issues.
- Deficiency list and resolution — Document, prioritize, and coordinate the resolution of deficiencies.
- Post-move assistance — Support staff and management with outstanding transition requirements.
- Information transfer — Consolidate and transfer relevant project information, records, and documentation.
- Vendor invoice reconciliation — Review invoices and confirm completion of contracted services.
- Final budget reconciliation — Confirm project costs and outstanding financial commitments.
- Post-move report — Summarize the project, outcomes, outstanding items, and lessons learned.
- Project close-out — Confirm completion of the move program and transition requirements.
- Project transition / handover — Transfer outstanding responsibilities and documentation to the appropriate parties.
Parallel Workstream
Surplus Asset Removal, Decommissioning, and Facility Handover
Where required, we manage the activities necessary to prepare the vacated facility for its next stage.
- Lease and facility requirements review — Identify obligations, restrictions, and handover requirements.
- Surplus asset removal — Coordinate the removal, disposition, donation, recycling, or sale of surplus assets.
- Facility decommissioning — Plan and coordinate the removal of equipment, furniture, and other facility assets.
- Facility remediation — Coordinate required repairs, reinstatement, and remediation work.
- Facility cleanup — Arrange final cleaning and preparation of the vacated space.
- Facility handover — Coordinate the final inspection, documentation, and return of the facility to the landlord or owner.
